Allocating commodities

You can use the Allocate Commodities dialogue box to allocate previously entered expense transactions to commodities, to generate a cost of production report.

To open this dialogue box:

  1. Select Operational Benchmarking from the Management menu. The Operational Benchmarking dialogue box appears.
  2. Select Cost of Production from the menu panel on the left.
  3. Click Allocate commodities on the options panel. The Allocate Commodities dialogue box opens, displaying two tabs: Expenses, which displays expense transactions, and Production, which displays all inventory transactions.

Note: The dialogue box also opens automatically after you enter an expense or production transaction through Transaction Entry, General Journal, Point of Sale or Inventory Adjustment, unless you deselect the Always show this screen after entering new expense or production transactions check box.

Using the Expenses tab

You can allocate transactions to commodities to determine the actual amount it cost to produce a commodity.  

  • White-shaded transactions have been fully allocated to commodities.
  • Blue-shaded transactions have been partially allocated (less than 100 per cent) to commodities.
  • Red-shaded transactions haven’t been allocated to any commodities.

To allocate an expense transaction to a commodity:

  1. Select a Fiscal year from the drop-down menu.
  2. Select a transaction Type from the drop-down menu to limit the transactions displayed, or select Show All to display them all.
  3. Select the transaction you want to allocate. You can select multiple transactions by holding down the CTRL or SHIFT key and clicking the transactions. 

Note: Click View Transaction to see the full transaction.

To allocate the full amount of the selected transactions to Commodities:

  1. Select the Production Period (crop year) the transaction should be allocated to.
  2. Click Edit list to edit the commodity list. The Commodities dialogue box appears.
  3. Allocate the transaction amount to commodities by entering either the % or Amount. If you’ve selected multiple transactions, you can only enter a %.
  4. The Total displays the per cent and amount of the transaction currently allocated.
  5. Left to allocate displays the per cent and amount of the transaction you have left to allocate.
  6. Click Split Evenly to split the transaction amount evenly across all commodities.
  7. Click Update Selected to update the selected transactions with the current commodity allocations. This option is only available if you’ve selected multiple transactions.
  8. Click OK.

Using the Production tab

You can allocate each transaction to a commodity to determine how much was produced. The sum of the Quantity amounts from allocated transactions will transfer to the Quantity box in the Cost of Production report. 

To allocate a production transaction to a commodity:

  1. Select a Fiscal year from the drop-down menu.
  2. Select a transaction.
  3. Select a Commodity from the drop-down menu on the right. If you don’t want to allocate a transaction to a commodity, leave it blank.
  4. Click OK
