Creating a T4 or T4 Summary report

You can create copies of T4 reports for employees, T4 Summary reports for employers or XML files to upload T4s to the Canadian Revenue Agency’s (CRA) website. You’ll use a T4 report if you pay your employees:

  • employment income
  • commissions
  • taxable allowances and benefits
  • any payments for services rendered during the year

To create a T4 or T4 summary report:

  1. Click Report Console from the Reports menu. The report console appears.
  2. Select Payroll from the left menu panel and then select T4.
  3. Select a T4 type from the Type list:
    • T4 - Original
    • T4 - Amended
    • T4 - Modified
  4. Select the Print the T4 slips check box to display and print the front of the T4 form.
    • Select the Print back page check box to display and print the T4 information sheet.
    • Select the Print box 54 check box to include the employer payroll account number on the T4.
  5. Select the Print the T4 Summary check box to display and print the front of the T4 Summary form.
    • Select the Print back page check box to display and print the T4 Summary information sheet.
  6. Select the Create CRA XML file check box to upload the T4s to the CRA website.
      Note: If you select this check box, the Export File dialogue box will appear once you click on Page View. Find where you want to save the XML file and click Save. You can upload the file to the CRA website by clicking the Canada Revenue Agency - Internet file transfer (XML) link and following the instructions on the CRA website.
  7. Select the calendar year to include in your report. You can select the previous fiscal year or the current fiscal year.
  8. Click the Employees tab and select the employees to generate a T4 for.
  9. Click the Other Info tab and enter the following:
    • Submission reference identification – Enter an eight-digit number to identify this report.
    • Transmitter number – Enter the transmitter number the CRA provided to you. If you don’t have this number, click the Canada Revenue Agency - Internet file transfer (XML) link to find out how to get one.
    • Language of communication – Select either English or French.
    • Payroll Account Number – Enter the number that the CRA assigned to you.
    • Contact – Enter your contact information. Name and Telephone number are required and Extension and Email address are optional.
    • Proprietor 1 SIN – Enter your social insurance number.
    • Proprietor 2 SIN – If you have a partner, enter your partner’s social insurance number.
  10. Click Page view.
      Note: To print a two-sided T4 form, select the Print the T4 slips check box and print the forms. Then, put the printed T4 forms back into the printer, ensuring that they’re positioned correctly.
