Editing or reversing transactions
Open the Edit Transactions dialogue box by selecting Edit or Reverse Transaction from the Transactions menu, or by clicking the Edit or Reverse button (represented by a filing cabinet) on the Transaction Entry, General Journal or Point of Sale dialogue box.
Use the filter options on the screen to help locate the entry. When you find the entry you want, select it to view, reverse, edit or print.
Full Edit – You can edit all fields using this method including numeric values and the list of posted accounts. This type of edit will automatically create a reversed transaction and then post a new transaction with your modified data. All three transactions (original, reversal and new) will appear on the Transaction Report and clearly display the detailed audit trail. If the transaction you’re editing contains GST/PST/HST on any of the lines, the tax rates used at the time the entry was created will be used.
Quick Edit – You can change the following fields on an existing transaction, without having the system do an automatic reversal:
- Date
- Transaction Number
- Descriptions (transaction description and transaction detail line descriptions)
- PSA (Purchase/Sale Analysis) card
Reverse – Select a transaction and click Reverse. To maintain an audit trail, recorded transactions can’t be deleted. Reversing a transaction means that AgExpert Analyst creates a new transaction containing the opposite amounts of the original transaction, which negates the original transaction. You can only edit or reverse one transaction at a time.
You can’t edit or reverse the following transactions:
- GST/HST/PST remittances
- accounts receivable and accounts payable entries that have had full or partial payments applied
- paycheques and remittances
- reversed transactions
- capital assets that were purchased and sold in the same year
- capital assets that were purchased and have child assets
