Update your software with AgExpert Analyst 2015-02

The latest update to AgExpert Analyst, Canada’s #1 selling agricultural accounting software is here. Here are just a few new features you can expect with AgExpert Analyst 2015-02:

Auto-update

  • You’ll receive an automatic notification from your software when an update is available. (You need an internet connection to use this feature.)

Online Activation

  • Now you can activate your software as soon as you’re ready. All you need is an internet connection, a serial number and the email address we have on file. Once the information is entered, just press the button to activate the system. It’s the ultimate in convenience: no need to call in, no need to wait for a disk.
  • Of course, you can choose to not use the online activation tool, or if your computer isn’t connected to the internet, you can call us during our normal business hours.

Payroll

  • All payroll tables have been updated to reflect the payroll calculations from January 1, 2015 to June 30, 2015. However, you’ll still need to manually update the TDI numbers.

Business setup

  • Labelling changes in the business setup – Changed Phone (day) to Phone and Phone (night) to Cell.

Contacts

  • A language preference has been added to the Contact setup window so you can assign your customers and suppliers communication language preferences.

Point of Sale and invoices improvements

Reports

A date range filter has been added to the Accounts Receivable and Accounts Payable report.

Bug fixes

  • The Fiscal year on the AgExpert Analyst dashboard will automatically refresh after shortening a fiscal year.
  • Fixed the issue with the Inventory report not hiding some accounts with a zero balance.
  • Fixed the Total Calculation line on the Capital Asset purchase report to remove the capital assets not in possession from the total.

Based on user feedback and your ongoing suggestions, we’ve made changes to make this version even more intuitive, flexible and convenient. Below, we’ve outlined some subtle changes, and some big ones – check them out: 

Online activation

  • One of the big changes to AgExpert Analyst is online activation. Now you can activate your software as soon as you’re ready.   • You can look forward to faster transaction entries. When you’re changing the transaction type on an existing transaction, the header portion will not clear itself. This allows you to continue without having to restart each time. However, the details section will continue to clear if you change the transaction type.

Payroll

  • The ability to do a quick edit of a Payroll cheque has been added to let you change the cheque number.

Streamlined file creation

  • Now you can select the commodities as soon as you select a business category.

Support

  • The online community is here to help you get answers to your software questions, 24-7. You can access searchable discussions, blogs and the Knowledge Base. Here, you can connect with other software users and with our support staff.

How safe is your computer?

You don’t have to look hard to find news about some sort of online virus or threat to your personal information. Internet threats have been around for a long time. Fortunately, there are measures you can take to protect yourself.

But first, let’s take a look at what you’re up against:

  • malicious threats (viruses and malware)
  • fraud threats such as phishing emails, spyware and troll fraud(the fraudulent use of a company’s telecommunications system by a third party)
  • unauthorized access from hacking, data leakage, botnets, unsecured wireless, and user name/password insecurity
  • operational threats, such as distributed denial of service (DDoS) attacks, attacks on VoIP, the failure of cloud computing suppliers to secure your network, or security risks from remote workers
  • newer threats such as social networking insecurity, web application threats, smartphone insecurity and poor security for converged voice/data applications on the network 

Before you unplug your computer and give up on modern technology, consider these options:

Staying up to date

A basic and key way of staying secure is to make sure you quickly take advantage of operation, browser and software updates. Make sure that patches, particularly security patches, are tested and installed as soon as possible.

Don’t open your door to strangers

As a first line of defence, never open unknown attachments. These are a common source of viruses and spyware, and be cautious about clicking on any links. Use anti-virus and anti-spyware software.

Tending to your firewall

Firewalls are now almost universally deployed. All messages entering or leaving the network pass through the firewall, which examines each message and blocks those that do not meet the specified security criteria. It’s important to regularly review the performance of your firewall.

Protecting your data

Backup your precious data (software data, photos, etc.) on an external source, like an external hard drive, memory stick or even on the cloud. This ensures that if your computer goes down, you won’t lose your photos and all that important information. It’s up to you to protect your data, but as long as you have it stored somewhere else, you should be able to retrieve that information.

Authenticate the source

If you receive a random call from someone saying they are calling to service your computer or software – that’s a pretty big red light that’s something off. Always ask to call them back at the company’s phone number, especially if they’re asking you to grant access to your computer. Remote assistance is a growing trend and can be used for malicious reasons.

Download your software update in two easy steps

If you’re looking for the easiest way to install your new software updates, you can do it online. It’s a new option this year and something a lot of you have asked for: a safe, fast and easy way to update your AgExpert Analyst or Field Manager PRO.

If the computer running your software is connected to the web, here’s what you need to do:

  1. Simply close out of the software.
  2. Run the install using the download link that was sent to you via email. That’s it.

It doesn’t get easier than that. You’ll be using the most up to date version of our software in no time.

Some people choose to have their computer offline, and that’s ok. It just adds an extra step to updating process.

  1. You need access to a computer with an Internet connection and a memory stick.
  2. Using your email with the imbedded software update link, open and download the updated file to your memory stick.
  3. Take that memory stick and download the update to the computer you use for your AgExpert Analyst or Field Manager PRO software (the one not connected to the Internet).

AgExpert Analyst 2015 is rolling out and we’re giving you a sneak peek at just some of the changes you can expect:

Budget tool overhaul

We’ve overhauled the look and feel of the budgeting tool in AgExpert Analyst. You’ll find it more intuitive and easier to use, based on industry best practices and customer recommendations.

How to sync Field Manager PRO and 360 with FM PRO Mobile

So you’ve downloaded our app – FM PRO Mobile. That’s great. Now you’re wondering, what’s next? Don’t worry, we’ll walk you through the basic steps to properly sync your app with Field Manager PRO and Field Manager PRO 360.

First, let’s go over some general rules to keep in mind when synching FM PRO Mobile:

  1. Only one crop year is in the sync triangle at a time. The only place that multiple crop years exist is on the desktop.
  2. Establish a process, either by time of day or by order of tasks for your sync. For example, always sync to the cloud from the app at the end of the hour/day/week. This is vital when there are multiple apps in play so we know when it’s appropriate to sync to the desktop.
  3. Once you’ve established your process, stick to it. If you feel you need to change it up, check with support first. We’ll be sure it won’t cause problems in the way your data is moving from the desktop to the app, and back to the desktop.

Here are seven steps for a successful sync process:

  1. Sync from the desktop.
  2. Sign in on the app.
  3. Download the farm to the app.
  4. Enter records/make changes.
  5. Sync changes up to the cloud.
  6. Sign out on the app.
  7. Start over at step one.

If you said “no”, then carry on with your day. For the rest of the world who wants a simplified year-end process – read on. 

With AgExpert Analyst, year-end is easier than ever. And next fiscal year is just a couple clicks away.

  • No more dealing with different year-end modes 
  • Most data files restrictions have been lifted from the Accountant’s copy.

Starting the Year-End Process

Go the Setup menu and Click on Fiscal Years. Then click on the Add Fiscal Year button. To find out more, read the Managing Year-end article. 

Creating the Accountant’s copy

Once the Fiscal year has been created, you’ll need to create the Accountant’s copy from the file Menu. 

Your accountant must have access to the Accountant’s copy of AgExpert Analyst. They’re not a current user of AgExpert Analyst? Get them to call our sales team at 1-800-667-7893. They can become an Exclusive Plus member or an AgExpert Analyst Certified Adviser to gain access to the AgExpert Analyst Accountant’s copy.

Why would your accountant want access to AgExpert Analyst?

In a word, convenience. While the file is with the accountant, you can continue working on your set of books. Your accountant can make changes to the previous year while you’ll be able to continue on with your new fiscal year.

Once you get the file back from your accountant, you’ll need to import the file back into AgExpert Analyst by going to File, Import Accountant’s copy.

What If your accountant gives you the year-end adjustments to do yourself?

Undo the Accountant’s copy from the File Menu and change the fiscal year back to the prior year. Then you can enter the adjustments. Once that’s complete, simply change the fiscal year back to the current year and continue on with the data entry. 

This new Fiscal Year Management lets you go back and forth between years simply by changing the fiscal year in the Setup Menu.

Top five things to remember about webinars

Top five things to remember about webinars

You know how people joke about using computers for good or evil? Well a webinar is definitely for good, but it doesn’t always feel that way, especially if you’re a newbie or have trouble logging on to one. In case you didn’t know, a webinar or web-based seminar, lets you connect, share and discuss information through the Internet.

FCC Management Software uses webinars to present our software products, provide training sessions, and to host meetings with farmers. We also offer a webinar speaker series. Because webinars are a new to many of us, we thought we’d outline 5 tips to remember when using webinars:

  • Check the local time. FCC Management Software webinars are communicated with the time listed in the Eastern Time Zone. The Eastern Time Zone observes Standard and Daylight Savings times at different points of the year. Be sure to double check what time our events are in your time zone. If you need some help you can always go to a time zone converter.  
  • Log on early. Just like for an in-person meeting, it’s polite to show up to webinars a few minutes early. We recommend logging on to the webinar about 10 minutes before the start time to ensure your computer has time to load. If this is your first webinar, be sure to log on 15 to 20 minutes early just to ensure all goes smooth.
  • Mute your phone line. Because webinars allow you to log in from home, feel free to get comfortable; grab a snack, watch with others. Just be sure to mute your phone during the session – no one wants to hear you cough or your side conversations. This ensures that the webinar audio is clear for everyone.
  • Ask questions. Our webinars are run by facilitators (the ones presenting) and a moderator (someone who keeps the webinar on time and structured). The moderator will at times open the phone line for questions. This could be during or at the end of the session. We usually reserve a full Q & A session at the end of each webinar, so be sure to ask your questions.
  • Have Fun. We try to keep the presentations lively and interesting (even if we are often talking about record keeping), and encourage positive attendee participation. Since FCC is a national company, most sessions are coast to coast – you might learn about agriculture from other parts of Canada.

When it comes to apps, why should Apple and Android users have all the fun?

BlackBerry users deserve some love, too. And thanks to a new BlackBerry operating system, they’re closer to enjoying what everyone else has taken for granted – access to some great apps.

With the release of BlackBerry 10.2.1, BlackBerry is making it easier to install Android apps, including AgExpert Mobile and FM PRO Mobile.

Sure, the previous operating system allowed BlackBerry users to attempt the installation of some Android apps, but it wasn’t easy. If you’re tech savvy, you could convert Android files in .BAR, and maybe those apps would work.

But with BlackBerry’s new operating system, users can install Android apps using the .APK files – an easier, albeit lengthy, method.

Ready to learn how? We’ve outlined a step-by-step document to help you.

Remember, based on our quality assurance tests, these apps should work properly on your BlackBerry smartphone. However, these Android apps weren’t designed to run on a BlackBerry. We can’t guarantee you’ll have a flawless experience using an Android app or that you won’t experience any app crashes. FCC Management Software can’t troubleshoot any issues for your BlackBerry smartphone.

Also, if you’re a Field Manager PRO 360 user, use the FM PRO Mobile app on an Android or iOS device. The GIS functionality doesn’t work properly on any BlackBerry devices and will make the app crash due to limitations with the access to mapping services on BlackBerry smartphones.

Software programs like AgExpert Analyst 2014 are making it easier for producers and farmers to accurately keep accounting records. It makes for better bookkeeping, and producers are able to see where they’re spending their money.

And now with the latest version, AgExpert Analyst 2014-02, a good thing gets even better with several new improvements. Here are just a few:

Updated payroll tables

Each year, the government releases updates to the tax tables that may also include adjustments to the TD1 forms. This means you’ll need to adjust the amounts for your employee provincial and federal TD1 numbers. Update your TD1 numbers now.

A familiar favourite returns

Love to be in control? You’ve got it. Now you have the ability to generate the Loan and Inventory Report yourself. Or you can view it in grid. Your choice.

AgExpert Mobile

Ok, this isn’t part of the update, but if you haven’t downloaded AgExpert Mobile, what are you waiting for? This new app works with AgExpert Analyst and lets you take a picture of your receipts and enter the transaction details on the fly. No more lost statements. What do you need from your software? Are you eager to study and learn every aspect so you can get the most from it and your operation? Or, are you comfortable in your abilities and happy using the system as is?

Everyone’s needs are different. With this in mind, we’ve changed the way we provide customer service packages.

In the past, we offered five different plans: AgExpert Analyst, Field Manager PRO, Ultimate (which covered both products) and Ultimate 360. But as of December 1, 2013, we’re simplifying things. Now there are three care plans: Basic, Essential and Premium.

Rather than picking a plan based on your software, you’ll choose a plan that’s right for what you need. Expect more updates, more learning opportunities, and more support when you need it. In short, you’re going to get more value for your money.

Introducing the FCC Management Software Care Plans:

Basic

If all you need are basic software updates, this plan is for you. It’s a no-frills package that just gives you updates as they become available.

Essential

This plan gives you everything you need to stay on top of your game: all the software updates, access to the online community, plus great learning opportunities through Here to Help webinars, monthly emails, and technical support including remote access to your computer.

Premium

This is the best plan available. Enjoy everything in the Essential plan, and a lot more: priority call-in support, online chat support, be the first to receive product updates and take advantage of advanced training sessions, webinars and tips from industry speakers.

When it comes to software, everyone’s needs are different. Now you can choose the care plan that meets yours.
